The Problem
Most business chatbots are a widget in the corner of a website. That reaches the customer who is already on the site, which is the smallest group there is. Everyone else is on WhatsApp, because in most markets that is where people contact a business, and a website widget reaches none of them.
Answering those messages by hand is the job nobody has time for. The same questions arrive every day about prices, timings, availability and what is included, usually during the busiest hours, aimed at the people least able to stop and reply. Orders get taken over a noisy line and written down in a hurry. The ones that arrive after closing are simply lost.
The gap between the two is where most of it goes wrong. A conversation happens in one place and the order has to end up somewhere else, in a form the people doing the work can act on.
What We Built
A WordPress plugin that runs an AI assistant across two channels at once. One instance sits on the website as a chat widget. The other connects to a WhatsApp Business account, so anyone messaging the business number is talking to the same assistant, with the same information and the same instructions behind it.
The WhatsApp side is what separates this from a website chatbot. A customer does not have to find the site, load it and locate a widget. They message the number already saved in their phone, at any hour, and get a real answer.
The assistant runs entirely on instructions and business information the owner supplies. What is sold, prices, hours, coverage area, current offers, how it should speak. It answers questions, guides the customer through choosing, takes the order, and handles changes and updates after the order is placed.
Order delivery uses a second number, which is the part most systems leave out. The business configures a private admin notification number, and every completed order is pushed there automatically. One number is public and talks to customers. The other is private and receives the work. Whoever is fulfilling the order gets a clean, structured message on the phone already in their hand, rather than a note written during a rush.
Everything runs from a dashboard inside WordPress admin. Assistant settings, both channels, a full order list, complete chat histories from the website and WhatsApp in one place, and logs of every exchange. Logging matters more on an AI product than on almost anything else. When an assistant handles a customer badly, the owner needs to see exactly what was said and adjust the instructions, and a system nobody can inspect is a system nobody should trust with their customers.
Every part of it is configurable rather than fixed to one business: the instructions, the information base, both numbers, and the widget itself. It was built as a product, not as a one-off, so it installs on any WordPress site and adapts to whatever that business sells.
Where It Fits
The system suits any business that answers the same questions repeatedly and takes orders or bookings through conversation. Restaurants and food service, retail, service providers taking appointments, and anyone whose customers are already messaging them rather than filling in forms.
It is running in live deployments, handling customer conversations across both channels and delivering completed orders to the business. The design came out of that use rather than ahead of it. The private notification number, the order update handling and the visible logs all exist because real businesses needed them, not because they read well as features.
